Microsoft Outlook Signatures

The instructions below are for later versions of Outlook, older versions generally require the same procedure and information although the exact menu positions and button names may vary slightly.

First save the signature file supplied to a known folder on your system.

Open Microsoft Outlook and click on the Tools > Options... option from the toolbar.

Then select the Mail Format tab, followed by the Signatures button.

Create a new signature from a supplied template, click the New... button

Enter a name for this signature. Usually this will be your own name but you may have several signatures so you can choose real name, company name, etc.

Then, click on Browse... to locate the signature file on your system.

Select the required file and then Select.

Selecting the file should return you to the previous screen, with the file location now filled in, click on Next.

The signature style and supplied text will then be loaded into your new signature definition. If a standard company signature has been supplied you may need to change your name, direct dial telephone numbers and so on. Please be careful here not to add any new paragraph breaks or font styles as these have already been coded into the signature file.

You can then complete the process by clicking Finish, check that the signature file is the one you have created and then OK and OK again.

Your signature file should then appear automatically at the bottom of new e-mails. If you want your signature to appear on ALL e-mails (i.e. including when you reply) you must select the signature file again in the Tools > Options : Mail Format screen.
